La necesidad de realizar un plan de comunicación para una pequeña empresa
especializada en un sector y con unas características determinadas viene
derivada principalmente de un desconocimiento de la efectividad de la
comunicación.
Teniendo en cuenta las dificultades generales de las pequeñas empresas,
como son la falta de presupuesto y visibilidad, muchas veces ensombrecida por
las grandes multinacionales, es aún más necesario planificar y organizar la
comunicación. De esta forma toda la inversión no se irá a un pozo sin fondo,
sino que servirá para cumplir unos objetivos fijados a conciencia.
Este trabajo tiene como principal objetivo diseñar un plan de comunicación
específico para una pequeña empresa de eventos ubicada en Teruel. La
elección de dicha empresa viene por el interés de la autora del trabajo en la
organización de eventos. Un buen evento es una acción que refleja en todos
los casos la imagen e identidad de una empresa, por lo que a través de él se
puede crear un sello propio, actuando siempre con coherencia entre lo que se
dice y se hace.
Louel Events es una empresa que empezó a trabajar en el año 2014 con el
objetivo principal de atraer personas profesionales y colectivos amateurs a la
ciudad de Teruel, mediante la realización de eventos.
En primer lugar se hizo una entrevista a la gerente de la empresa con el fin de
conocer el funcionamiento y la filosofía del negocio. Una vez realizada la
primera toma de contacto en la reunión, se investigó todo el entorno de la
empresa y se creó un briefing para comprender de forma exhaustiva la realidad
de la misma. Siempre manteniendo el contacto con la gerente para no dejar
ningún cabo suelto.
Al ser una empresa que carece de comunicación y de sede física, no ha sido
necesario contrastar opiniones con el público habitual. Por lo que la prioridad
fue completar toda la información necesaria para la realización de un plan de
comunicación útil y viable para la empresa.
Para ello era imprescindible analizar no solo la propia empresa, sino también la
competencia directa, fijada a través de unos criterios comunes a todas las
empresas. Asimismo fue igualmente necesario el estudio del sector de eventos
y un análisis DAFO, para fijar en qué punto se encontraba la empresa. Por otra
parte, se fijaron aspectos del corporate, como es la imagen real o la intencional
y el posicionamiento deseado. Tras la fase de investigación quedó patente que
la imagen real era prácticamente nula, pero se determinó una imagen
intencional acorde con las características de la empresa.
Finalizada la fase de investigación, se procedió a fijar los objetivos que
cumplían con la finalidad del plan, es decir, eran reales y útiles. Principalmente
se basaron en crear una cartera de clientes, proveedores y colaboradores,
hacer visible la empresa y que la identifiquen con los valores de cercanía,
confianza y profesionalidad y sobre todo con su valor diferencial.
Seguidamente se pasó a determinar el público objetivo, el cual se dividió en
cuatro grupos, con el fin de crear distintas acciones más específicas para cada
grupo.
Tras determinar los objetivos y el público objetivo se diseñó una estrategia con
el fin de cumplirlos. La estrategia se planteó desde tres puntos: de
comunicación, creativa y de medios. Así se pretendía explicar con detalle todo
el desarrollo de la misma con la máxima claridad, dividiéndola en tres fases.
La primera fase tiene el objetivo de dar a conocer la empresa, esta fase va
dirigida a todos los grupos del público, ya que es conveniente presentar la
empresa a todo su público objetivo.
En la segunda fase la meta es crear una amplia cartera de proveedores y
colaboradores, para ello es primordial ganar la confianza de otras empresas.
Por último, el propósito de la tercera fase es atraer turismo entre semana, ya
que el fin de semana la ciudad es muy turística, pero entre semana los
establecimientos se quedan desocupados. También así se incentivaría la
economía general de la ciudad.
A continuación, se estableció un plan de acciones que fuera coherente con la
estrategia, ya que el fin es alcanzar los objetivos propuestos. Así pues, se
dividieron las acciones a corto, medio y largo plazo, para que éstas fueran más
concretas y se complementaran con las fases de la estrategia. El plan de
acciones tiene la duración de un año. Teniendo en cuenta que la empresa no
ha especificado un presupuesto límite y dadas sus peculiaridades, se ha
intentado acortar al máximo el presupuesto realizando pequeñas acciones que
cumplan los objetivos.
Para calcular la inversión necesaria, se ha realizado un desglose de los gastos
que serán necesarios para cumplir con el cronograma del plan, ya que la
finalidad es llevarlo a la práctica y que sea un plan real, útil y viable. Así pues,
el presupuesto final del plan de comunicación es de 9.004,00€.
Una vez se hayan llevado a cabo las acciones se realizará un control y
seguimiento de la efectividad de las mismas, con el fin de poder realizar algún
cambio en la disposición de las acciones si no cumplen los objetivos o
simplemente verificar que se está realizando un buen trabajo. Cada trimestre
se realizará un análisis para averiguar si se están cumpliendo eficazmente los
objetivos fijados. Este apartado es muy importante tanto para conocer la
validez del plan y ajustarlo, como para medir los progresos de la empresa.
El control se realizará internamente analizando la cartera creada de clientes,
proveedores y colaboradores. También se tendrán en cuenta las publicaciones
en la red y su interactividad. Por otra parte se medirá el alcance de los eventos
que se realicen y se le preguntará a los clientes de la empresa mediante una
encuesta con el fin de conocer cuál es la actualidad de la empresa una vez
seguida la estrategia y realizado todo el plan de acciones. [-]

specialized in one field and with certain characteristics, arise from mainly a lack
of awareness of communication effectiveness.
Taking into account the difficult situations of small companies, like the lack of
budget and visibility, sometimes overshadowed by the multinational companies,
it is even more necessary to plan and organize communication strategy within a
company. In this way, all the investment won´t be in vain but it will also serve to
accomplish goals consciously established.
This work´s main purpose is to design a communication plan for an event
company situated in Teruel. I chose this company because I´m interested in
event management. A good event is an action that shows, in every case, the
image and corporate identity of a company, and therefore creates a unique
company.
Louel Events is a company that started its business in the year 2014 with the
main purpose of attracting professional and amateur people to Teruel City by
making events.
In the first place I made an interview to the company manager with the purpose
of knowing the business philosophy and its performance. After having the first
meeting, I investigated the company environment and created a briefing to fully
understand its reality. I was in contact with the manager at every moment, while
during the performance of this investigation, in order not to leave any important
issue aside.
As being a company without a communication department and working office, it
was not necessary to check opinions with the audience. Our priority task was to
gather all the necessary information to develop an appropriate communication
plan for the company.
For that reason it was essential to analyse not only the company but also the
direct competition according to a common criteria established for all the
companies. Likewise it was necessary the research of the event field and the
performance of a DAFO analysis to determine the company situation. What is
more, corporate aspects were established as for example the real and
intentioned image and the desired market position. After the investigation we
realized that the real image of the company was non-existent, but we resolved
an intentioned image according to the company characteristics.
Once the research phase was finished, we proceeded to establish the
communication, advertising and marketing goals. These objectives complied
with the plan´s purpose, that is to say they were real and useful. Mainly they
were to create a client, supplier and sponsor portfolio; to make the company
visible and that it was identified with the values of closeness, trust and
professionality and above all complying with its differential value.
Then we set the target audience, which was divided in four groups, with the
purpose of creating different marketing actions for each group.
After we established the objectives and the target audience, we developed the
strategy. It was outlined from three points: communication, creativity and media.
We tried to clearly explain the strategy development by dividing it in three
phases. The first phase objective is to let the company be known. It is focused
on all the audience groups considering that its is convenient to show the
company to all the target audience. In the second phase the goal is to create a
wide supplier and sponsor portfolio, for that reason it is essential to build
confidence with other companies. To conclude, the main goal of the third phase
is to attract tourism during the weekdays, since it is a very touristic place during
the weekends, but the establishments remain vacant during the weekdays. In
addition, the city economy will be encouraged.
Then, we established an action plan that was coherent with the strategy since
the goal is to accomplish the proposed objectives. Therefore we divided the
actions in short, medium and long term, so that they were more concrete and
were complemented with the strategy phases. The action plan has a year
duration. Taking into account that the company has not specified a limited
budget and according to its characteristics, we tried to reduce the budget up to
the maximum by making small actions that complies with the objectives.
To calculate the necessary investment, we made a list of expenses that may be
required to comply with the plan schedule, considering that the aim is to carry
out the plan and that it is real, useful and viable. Therefore, the final budget of
the communication plan will be of 9.004,00€.
Once the actions are carried out, we will perform a control and follow up of
them, with the purpose of making any action changes if they do not comply with
the objectives, or just to verify that a good work is being performed. Every three
months we will perform an analysis to find out if the given objectives are being
properly accomplished. This part is very important to know the plan validity and
to adjust it so as to measure the company achievements.
Control will be performed internally by analysing the created client, supplier and
sponsor portfolio. We will also consider the network launching and its
interactivity. On the other hand the scope of the events will be measured and
the customers will be asked through a survey with the purpose of knowing the
reality of the company once the strategy and action plans were followed. [-]
